Language Lab: Policies
Instructors intending to send students to the lab to complete class and lab assignments must fulfill the following requirements in order for class materials to be available in the lab and for students to be served. Students from classes whose instructors have not met these guidelines cannot be served.
  • If you are a TA teaching a section or sections in any department's Required Course Sequence, you must attend an ASCIT Lab Training Session. Please see your RCS coordinator for information.
  • If you are a graduate instructor or a faculty member teaching any other course in which lab materials will be part of the course requirements or if there is no Required Course Sequence training and/or coordinator in your department, you must meet with an ASCIT staff member to determine your needs and to obtain appropriate training on the lab system.
Class Reservations
Reservations for the Lab should be made as far in advance as possible. Patrons will be served on a first-come, first-serve basis and priority will be given to foreign language and associated classes. Due to the limited number of seats, ASCIT cannot guarantee space will be available for all requests. An ASCIT staff member will assist in the operation of the Sanako System during testing.
Make-up Examinations
Make-up exams may only be scheduled after administration of the original exams. Instructors are responsible to request any make-up examinations via the ASCIT web site for Language Lab reservations.

ASCIT prefers that instructors are present during make-up exams. When this is not possible, the instructor must furnish the make-up exam to ASCIT in advance or the students must deliver the exam in a sealed envelope, signed by their instructor.

Upon completion, make-up exams will be electronically delivered in the same fashion as the original exam.

Access to Web Resources
Some web based tools supported by ASCIT can be accessed off grounds with appropriate settings for a UVA certificate or proxy account. Unless otherwise stated, we do not guarantee that other web based materials, such as streaming audio and video files, will be available from off grounds. All web based course materials can be accessed from most locations on grounds.
Digitizing
ASCIT provides video and audio digitizing for materials that are to be used in the Language Lab or on the ASCIT website. We require at least 30 days notice to guarantee that materials will be available by the time requested. If copyrighted, additional time may be required.
Software
ASCIT will store software that is being used by foreign language and related courses and being used in the Language Lab or on the ASCIT website. The following procedures are required before allowing use of programming on our system:
  • A demonstration copy must be provided to ASCIT staff so the software can be tested on our equipment at least 6 weeks before the first day of the semester you wish to use material.
  • Once it has been ascertained that the software is compatible with all ASCIT systems, all copies of the software will be loaded, provided written verification is provided of the total numbers of copies licensed.
  • Software owned and stored by ASCIT cannot be loaned to individual faculty or students to be used outside the facilities served by ASCIT.
  • Some ASCIT funding is available to purchase instructional materials and other international use software for use in classes served by the Multimedia Language Learning Laboratory. See director for more information.
Videotape Dubbing
ASCIT provides copying for classes in the Arts & Sciences from VHS NTSC format to international standard (PAL, SECAM) and from international standard to VHS NTSC provided the material is not copyrighted.
New Textbooks, Audiocassettes, CD ROMs, and Software
Instructors should bring new tape sets or software accompanying textbooks and/or course materials to the Lab no less than 6 weeks prior to the beginning of the semester in which the materials will be used. ASCIT cannot guarantee that classes can be served if these materials are received after this date. We would also like to request that if a department has changed textbooks and no longer intends to use an old tape series, they inform ASCIT staff so that the taped materials can be removed from our collection.
